• Supervise daily administrative operations, including office management, general services, archives, and contract administration; manage the company’s vehicle fleet (procurement, registration, maintenance, insurance, compliance, etc.); handle visa, residence permit, and related administrative procedures for expatriate employees in Italy, and liaise with official authorities; manage the administrative budget, optimize processes, and improve overall efficiency.
• Develop and implement procurement plans, including supplier sourcing, benchmarking, negotiation, and contract signing; manage purchases for office supplies, IT equipment, vehicles, and operational materials; evaluate supplier performance to ensure quality, cost control, and timely delivery; optimize procurement processes to enhance cost efficiency and compliance.
• Support the HR team by supervising administrative procedures related to employee onboarding, offboarding, and transfers; coordinate with external partners such as occupational health institutions, training providers, and temporary staffing agencies; organize and support internal events, employee activities, and team-building initiatives.
• Lead and train administrative and procurement team members to improve execution and collaboration; set team goals and performance indicators, conduct regular tracking and evaluation; foster a positive working atmosphere and promote cross-departmental cooperation.
• Provide regular reports to management on administrative and procurement activities; ensure all processes comply with Italian laws and internal company policies; participate in cross-departmental projects (digital transformation, process optimization, QHSE, etc.).
• Holder of a valid work and residence permit in Italy.
• Bachelor’s degree or above in Administration, Procurement, Business Management, or related fields.
• Minimum of 5 years of experience in administrative or procurement management, preferably in logistics, transportation, or express delivery industries.
• Familiarity with Italian labor law, visa/residency procedures, and vehicle management processes.
• Strong negotiation, cost control, and supplier management skills; excellent organizational and team management abilities, with strong cross-cultural communication skills; proficiency in office software and ERP systems.
• Fluency in Italian and Mandarin (required); proficiency in English is a strong plus.
